    6 SPECIFIC THINGS YOU WILL BE RESPONSIBLE FOR:

    1. Concepts: Not only will you have to bring brave, new and diverse thoughts to brainstorms and reviews, but you will have to be able to deliver strong integrated thinking and execution in every channel. You will need to understand a brand's overall strategy and develop work that answers to this. 
    2. Digital Platforms: A thorough understanding of digital platform formats and how to design and art direct for/within them is essential. 
    3. Execution: You will need to have mastered the visual arts and the various programs required to execute great work across channels and platforms. At a bare minimum, you must be able to use  Photoshop, InDesign, Illustrator. Knowledge of After Effects, Premier Pro, HTML5, Google Design, Snapchat Studio, Figma, Banner Now would all put you in good stead. You need a great eye, a love for design, typography, photography, film and creative-tech, but mostly just a basic obsession with concept-led Art Direction. 
    4. Selling and Presenting: You should be able to confidently present internally and externally to senior clients without the CD being there. You will need to be able to have meaningful conversations with clients around the strategic direction of their brand and the brand's tone of voice and look&feel - and present creative off the back of strategy, while linking the two seamlessly.
    5. Production: You will need to be able to choose the correct suppliers (directors/audio engineers/voice artists/photographers/illustrators etc) and as such you should always be appraised of the latest and best people to partner with, in order to have an opinion on who executes your work. You will be expected to harness the best from those suppliers and build relations with them for the ultimate good of the work.
    6. People and Relationship Management: You should be able to form and hold close and respected relationships across all departments and people need to genuinely enjoy working with you. You may need to work with and get the best out of junior teams and be open to culturally diverse ideas that don't match your world view.

    A Digital Project Manager drives e-projects through from initial concept to delivery. They work on a range of campaigns on several different projects and must be adept at managing and building client relationships and reporting on the status of projects. 

    Four focus areas:

    • Project Management - You take ownership of all the Digital specific campaigns tasked to you and ensure project deliverables are tracked against the Project plans which are considered & accurate and you strive to adhere to the commitments made to the various stakeholders. Both internal and external. 
    • Financial Management – Working closely with the overall Campaign driver, budgets are managed tightly with a keen eye on innovation and best practice models in the most cost-effective way.

    Managing partnership with group production and operations teams 

    • Collaboration and partnership with group production teams across Johannesburg and Cape Town 
    • Team work and assistance on projects as required as a proactive positive representative of Razor in the Group 

    Managing Freelance Pool and Budgets with Content Director

    • Freelance budget recon monthly
    • Freelance billing and payments and reconciliation 
    • Freelance approval and billings as required 

    Manging Chase and Project Management Tools

    • Opening of jobs and management of job bags
    • Ensuring all staff appropriately set up and enabled on Chase (including training needs) 
    • Opening and scheduling jobs.
    • Chase troubleshooting and training.
    • Insights reporting.
    • Other project management tool administration.

    Finance, billing and administration 

    • Monthly WIP reconciliation with client teams 
    • Monthly billing reconciliations and updates with Managing Partner and Financial Manager
    • Managing billing work flow and deadlines on a monthly basis 
    • Manage upfront payments and job reconciliations
    • Reporting and forecasting of OOS revenues

    Personal Assistant

     

    Razor is a dynamic and fast passed, high performing strategy communications agency in the M&C Saatchi Group South Africa. 

    1. ROLES AND RESPONSIBILITIES

    Running the Razor Office. Your key responsibilities will include:

    Office Supplies & Stationery

    • Ensure correct stock levels of all office supplies and Agency collateral are managed and maintained. 
    • Order and update new staff business cards, folders etc. 
    • Manage office maintenance needs, furniture and printer supplies 

    Travel

    • Coordinate all travel requirements (domestic and international) on behalf of the Razor team and book flights and accommodation through Liesl Johannessen in Cape Town. 
    • Manage itineraries for travelling team members.  

    Entertainment and CSI

    • Managing Razor client entertainment, including managing suppliers and RSVPs. 
    • Assist group wide Agency initiatives regarding, culture, CSI and events.

    New Staff Preparation

    • Take the lead in preparing welcome packs for new starters and ensure that the office space (eg desks, chairs and telephones) are ready on Day-1 for their arrival.
    • Work with HR and IT to ensure laptops are set up and ready for new starts including correct signatures etc
    • Ensure new starters are added to the right alias client groups

    Client administration and support 

    • Assist with new business processes. Managing check-ins and team feedback and deliverables. Assist with collating documents and submissions 
    • Maintain an up-to-date client contract and agreements and database of renewals
    • Maintain up-to-date data base of NDA agreements
    • Build the right networks. Build relationships with key client teams and partners to enable effective management of client and agency needs. 

    Razor marketing and promotion 

    • Co-ordinate and manage awards programmes and submissions, managing and co-ordinating team inputs and deadlines

    Group HR Support

    • Work with the HR team to support to manage interviews and scheduling across group companies in Johannesburg, especially during busy times

     

    2. BRAND TEAM ASSISTANT

    You will provide administrative support where needed to the teams. Duties will include (but not limited to):

    • Manage boardroom availability, schedule meetings and coordinate catering forms for major client meetings. (Work with Poppy and Stephanie on catering requirements)
    • Courier and dispatch management for client documents.
    • Manage client gifts. 
    • Maintain and update accurate record of our client database.
    • Leave Management for Account Management team (keep schedule of leave)
    • Manage Razor team meetings, scrums etc

     

    3. PERSONAL ASSISTANT

    • Executive PA duties to the Managing Partner (Dustin Chick)
    • Executive PA duties to Partner (Kalay Maistry) and Content Director (Chris Lazley)
    • Management of diaries
    • Management of timesheets where relevant
    • Arranging Manco Meetings including minutes 
    • Managing client entertainment
    • Managing expense claims and recons 

    Team time reporting 

    • Managing team time reconciliations for monthly Manco Meetings 
    • Managing team capacity schedule monthly against contracted/scoped hours 

     

    4. MEASUREMENT OF SUCCESS
